# Set up requirement tables for your roles

## Document the physical, environmental, and other requirements for every role in a consistent format that managers will understand and your HR and Legal teams can administer.

### What are requirement tables?

Requirement tables record the physical, environmental and other conditions of a job in a consistent, objective format. Examples include how often someone lifts 25 lb, stands for long periods or works on stairs, and whether the role needs travel, on-call duty, a license or a background check. Each requirement gets a rated answer, such as **Never**, **Occasionally**, **Frequently** or **Constantly**, so "some lifting required" becomes a documented, job-related requirement.

### Why they matter for compliance

Vague job descriptions are hard to defend when a requirement is challenged. Requirement tables give HR and Legal a clear record of what each role demands:

- **ADA essential functions.** Under ADA Title I, employers with 15 or more employees must be able to show which job functions are essential. A rated table of physical demands, often called a Physical Demands Analysis, is the kind of documentation that supports that.
- **Accommodation requests.** When an employee asks for an accommodation, HR compares their restrictions against the role's requirements. A documented table makes that process consistent and easier to stand behind later.
- **Return to work and fitness for duty.** Physicians and workers' compensation adjusters use the same information to decide whether someone can safely return to a role after an injury.
- **Workplace hazards.** Environmental requirements, such as slippery surfaces, noise or cramped spaces, also serve as a written record of the hazards in each role.

Answers are versioned with the rest of the role, so you have a record of what each role required and when it changed.

### Who needs them and when

Requirement tables are most useful for organizations with roles that have physical or environmental demands, such as manufacturing, warehousing, healthcare, field service and facilities. They're also useful anywhere roles call for travel, licenses or background checks. Set them up before you post or update job descriptions, so every role is documented before a question comes up. Usually an HR or compliance lead builds the tables, and the people who maintain each role fill in its answers.

> **Note:** Requirement tables help you document job requirements. They don't replace legal advice. Check with your legal team about the requirements that apply to your organization.

This article walks you through creating a table, filling in answers for each role, and publishing them.

### Before you begin

- Requirement tables are turned on per organization. If you don't see **Requirement tables** under **Role management**, contact your Career Bird account team.
- Have the roles you want to cover already set up in Career Bird. Career Bird uses each role's description and responsibilities to suggest answers.

### How requirement tables work

A requirement table is a grid that every role in your organization shares:

- **Requirements** are the rows, such as "Lift up to 25 lb" or "Overnight travel." You can group them into **categories**, such as posture, strength or dexterity.
- **Answers** are the columns, the options a role can choose from. A physical requirements table might use **Never**, **Occasionally**, **Frequently** and **Constantly**.

The structure is the same for every role, so roles are compared the same way. Each role has its own answer for each requirement. You can create more than one table, for example one for physical requirements and one for travel.

### Create a requirement table

1. Go to **Role management \> Requirement tables**.
2. Click **Add requirements table**
3. Choose a template:
     - **Physical requirements:** ADA-style demands, answered as Never, Occasionally, Frequently or Constantly.
     - **Environmental requirements:** workplace conditions, such as noise or outdoor work. \[CONFIRM: example items in this template\]
     - **Yes/No:** requirements such as travel, on-call duty, a license or a background check.
     - **Blank:** build your own from scratch.
4. Enter a name and description for the table.
5. Select **Add a job family** if you only want requirements to apply to specific job families.
6. Click **Save**. The table now appears on every role in the organization or job family, with no answers set yet.

> **Tip:** Start with the table your organization needs most, often physical requirements. You can add more tables later.

### Customize the table

Edit the template so it uses your organization's language. Changes apply to every role.

1. On the table, edit existing labels, or **click Add option, Add category or Add dimension**
2. To change the answers, add or rename columns. For example, give a travel table answers such as **0–10 days**, **11–30 days** and **30+ days** instead of yes or no.
3. To change the requirements, add, rename or regroup rows under categories.
4. Add help text to any requirement that needs explaining, such as what counts as "Frequently."
5. Drag rows and categories to reorder them.
6. Click **Save**.

> **Note:** You can't remove an answer column, a category or a requirement while any role still uses it. Change those roles' answers first, then remove it.

### Use AI to suggest answers for your roles

When roles have blank answers, a **Roles missing requirements** prompt appears. Career Bird can suggest answers based on each role's description and responsibilities.

1. On the **Roles missing requirements** prompt, click **Fill requirements**.
2. Filter the list to the roles you want to start with, for example by job family.
3. Click **Fill missing requirements**. Career Bird suggests an answer for each blank requirement.
4. Open a role to review its suggested answers.

Career Bird only fills in blanks. It doesn't change answers that are already set, and it doesn't add explanations.

### Edit a role's requirements

Admins, or users with role edit permission should follow these steps to adjust a suggested answer provided by AI or fill one in themselves.

1. Open the role from the **Role Manangement --\> Roles** and click **Edit this job description**.
2. Click to the **Requirements** tab to scroll down to requirements.
3. For each requirement, select one answer. Requirements without an answer show a **?**.
4. Optional: add a short explanation, such as "Lifts patient equipment during shift changes."

Your changes save to the role's draft. Changed answers are highlighted against the published version.

Ad Admin will see **Publish** and a user with edit permissions will see **Submit for approval**

### Review and publish

New or changed answers stay in the role's draft until an admin approves and publishes the changes. Employees will see the published version until then.

1. To approved the changes, open the role by navigating to **Role Manangement --\> Roles**
2. Review the requirement answers against the published version.
3. If you want a manager to check them first, \[CONFIRM: how to send for manager review\].
4. Click **Publish**

Requirement answers are versioned with the rest of the role. You can see past changes on the role's **Version history** tab.

### What happens next

- Managers can see the published answers on the role's **Requirements** tab.
- A future release will enable inclusion of requirements in the PDF and shareable link of the role description

### Delete or restore a table

Deleting a table removes it from every role. Deleted tables move to the **Deleted** tab, and you can restore them from there.

### Troubleshooting

- **I don't see Requirement tables under Role management.** The feature isn't turned on for your organization. Contact your Career Bird account team.
- **I can't remove a requirement or answer.** At least one role still uses it. Change those roles' answers first.
- **AI fill skipped some requirements.** Career Bird only fills blanks. To change an existing answer, edit the role.
